Text messages from SiteClara
Last updated 30 September 2026
SiteClara is software that cleaning, security, maintenance and hospitality teams use to record their work in the buildings they look after. It sends a small number of text messages to the people who use it. This page explains which ones, and how to stop them.
Who gets texts, and why
- Staff enrolled by their employer. When a business that uses SiteClara adds a member of its staff, SiteClara texts them a link to set up SiteClara on their phone.
- Staff who ask to sign in. When someone types their own mobile number on the sign-in page, SiteClara texts them a link to sign in.
- Building managers. A building manager enrolled by the business that runs their building can be texted when a supervisor asks them about a job.
SiteClara sends no marketing or promotional texts. Most people get one or two texts a month, and only when they are enrolled, ask to sign in or are asked about a job.
How people agree to texts
Your employer, or the business that runs your building, must ask you and receive your agreement before enrolling you for SiteClara texts. Giving the business your phone number, or being on its staff list, does not by itself mean you have agreed.
After you agree, its administrator ticks a required box in the SiteClara portal confirming: This person has agreed to get texts from SiteClara. SiteClara records when the box was ticked and by which administrator. That record confirms what the administrator says; your own agreement must come first. Someone already enrolled who asks for a sign-in link types their own number on the sign-in page and presses Text me a link.
Obtaining agreement in person or by phone
At onboarding: complete our notice template with your business's details and give it to the person. Give them time to read the Text messages section, including the purposes, message frequency, possible charges, stop instructions and terms and privacy links. Then ask the question under Agreeing to texts:
Do you agree to receive SiteClara texts on your mobile number for enrolment, sign-in links you request and, if you are a building manager, jobs a supervisor asks you about, as explained in the notice? Please say yes or no.
If you explain it aloud instead: use the complete wording below before sending the first text. Replace the words in square brackets with the name of your business. Give the person the terms and privacy links so they can read them before deciding.
We at [business name] use SiteClara to record work and manage jobs in our buildings. May SiteClara send texts to your mobile number for enrolment, sign-in links you request and, if you are a building manager, jobs a supervisor asks you about? There are no marketing texts. Message frequency varies: a text when your organisation enrols you or resends your enrolment link, a text whenever you request a sign-in link and, for building managers, a text whenever a supervisor escalates a job to you. Message and data rates may apply. For US and Canadian numbers, reply HELP for help, or email help@siteclara.com. Reply STOP to stop texts, or turn texts off in SiteClara using the Texts from SiteClara switch. Agreeing is voluntary and is not a condition of buying anything. The terms are at https://siteclara.com/terms and the privacy notice is at https://siteclara.com/privacy. Do you agree to receive these SiteClara texts? Please say yes or no.
Example affirmative response, for illustration: Yes, I agree to receive those SiteClara texts on my mobile number. Wait for the person's answer. Silence or an unclear answer is not agreement. If they decline, do not enrol them for texts.
After a yes, confirm:
Thank you. We will send your SiteClara enrolment link by text. The message will confirm that [business name] has set you up on SiteClara.
Recording the agreement
- After the person agrees, ask them to give or confirm their own mobile number and read it back to them.
- Keep a consent record securely in your business's onboarding records: the person's name and number, the date and time, whether the conversation was in person or by phone, who asked, the wording used and the person's affirmative response. Keep the completed notice too, if you used it. This wording is dated 30 September 2026; the notice template is version 7 of that date. Do not publish actual people's consent records.
- Only then enter the person in SiteClara's Team page, tick This person has agreed to get texts from SiteClara and send their enrolment link. SiteClara stores the administrator's identity and the time of that confirmation; it does not record the spoken conversation.
The first text confirms enrolment with [business name] set you up on SiteClara (or set you up as building manager on SiteClara), the enrolment link and, for US and Canadian numbers, Reply STOP to opt out. NZ manager texts use the shorter added you as manager on SiteClara, and every NZ text includes the reply-charge notice below. It is sent after agreement. The person can stop future texts by replying STOP where supported, or using the switch in SiteClara. These steps apply to staff and building managers alike.
What a text looks like
Northgate Cleaning set you up on SiteClara. Tap to enrol: https://siteclara.com/enrol/… Reply STOP to opt out.
SiteClara: tap to sign in https://siteclara.com/enrol/… Link lasts 15 minutes.
How to stop them
Reply STOP to any text from SiteClara and we will send that number nothing more, sign-in links included. Reply START to have them again. You can also turn texts off, and back on, on your own screen in SiteClara, the page a sign-in link opens: Texts from SiteClara. Where a reply cannot reach us, because a country's networks send it to a local number, that switch always works. For help, email help@siteclara.com, or ask the employer or building that set you up. Message and data rates may apply.
For US and Canadian numbers, reply HELP for help with texts. Twilio handles this keyword automatically. You can also email help@siteclara.com for SiteClara support.
For New Zealand numbers, every message says Reply to this SMS will be charged. A reply may go to a local network number and cannot stop SiteClara texts. Use the Texts from SiteClara switch in SiteClara to turn them off or back on, and email help@siteclara.com for help.
Your mobile number
Your number is used only to send you these texts and to recognise you when you sign in. No mobile information is shared with third parties or affiliates for marketing or promotional purposes. Numbers are passed only to Twilio, which delivers the texts, and to the mobile networks that carry them. See our privacy notice and, for staff, the notice their employer gives them, based on our template.
