Portal access and phone roles are separate
Yes, one person can be both an administrator and a supervisor. Portal access uses an email address and a passkey or emailed link. Operative, supervisor and building-manager phone access uses the enrolled mobile number. Signing in to one does not set up the other.
There is no universal role switcher. Open the portal for administration, and your phone queue or a location's tag for on-site work. The same browser can hold both sign-ins; each access still has its own permissions.
Set up an administrator who also supervises
- An existing administrator opens Settings → Portal users and invites the person as Admin, if they do not already have portal access.
- The person opens their email invitation and signs in to the portal. A passkey is optional.
- In Team (called Own staff in an owner account's navigation), enrol the same person by their mobile number. Choose Supervisor, select the buildings they supervise and record their agreement to receive texts. An administrator can enrol themselves here.
- They open the enrolment text on their own phone in Safari or Chrome and complete enrolment.
- Use the portal to manage setup and the phone queue to supervise. Scan the QR code or tap the NFC tag at a location to record work.
If the person already has portal Staff access, an administrator can change it to Admin in Portal users. If they already have a phone assignment, edit it in Team rather than expecting the portal change to alter it.
Set up a building manager who also reads reports
Enrol the person as Building manager for phone reports and escalations. Separately, invite their email as a report reader for the shared site. They must accept that invitation. The phone role alone does not grant access to the shared site's approved report pages.
The same person can also have portal administration access where authorised. Keep each invitation and enrolment tied to the work they actually need to do.
Understand phone-role combinations
Supervisor already includes operative capabilities. You do not need to enrol the same person twice to let them both record work and supervise.
Each phone assignment has one role for that organisation at that site. Changing it replaces that assignment's role; it does not stack a second role on it. Assignments at other sites or with other organisations can differ, but the Team editor applies its selected role to the buildings being saved. Check the assignments before changing several buildings together.
Building manager is a report-only phone role, not a higher level of supervisor. Do not change a working supervisor to Building manager expecting to keep work-recording controls. Staff-reporter invitations use a separate school-email identity; matching a name or email does not automatically merge that record with a mobile enrolment. External contractor links are access to a job, not an extra staff role.
If an action is missing
Check which page you opened, which identity is signed in, the building and the assigning organisation. Then check the phone role and any services the person covers. Granting portal Admin access will not make a missing supervisor button appear at a tag.
Only give access needed for the person's responsibilities. When someone leaves, remove their portal access and their phone assignments separately where both were granted.
