Add locations and choose who can use each tag

Create or import rooms, pair their forms and understand switching off versus removing.

One location for each place

Open the building in Buildings or Sites and add a location. Give it a recognisable name and floor or other position so people can distinguish similar rooms. On a shared site, use that site's Locations section.

Choose the report form people see, the routine task checklist workers use and any specialist task checklists offered there. Check who handles reports. Changes to a location's form pairing apply to its live tags.

Import a room list

  1. Choose Import a room list on the building or shared-site page.
  2. Paste rows from a spreadsheet or select a CSV file.
  3. Review the preview, the suggested kinds of location and every row marked to be left out.
  4. Correct the input if needed, then confirm the import.

Imported building locations get Staff only tags and starter forms. Imported shared-site locations start switched off so the site administrator can bring them into use deliberately.

Staff only and Open

Staff only requires an authorised phone identity at that site. Open lets visitors report without staff enrolment; enrolled working staff can still get their work controls. Provider-managed sites require Staff only tags.

The QR code and NFC sticker open the same tag address. Access follows the signed-in person's role and assignment, not whether they scanned or tapped. A building manager or reporter does not get work-recording controls by using the same poster as an operative.

Switch off, remove or revoke

At a shared site, the site administrator can switch a location out of use and back on. While off, it keeps its tag, forms and schedules, but its tag says it is not live yet, it prints no poster and no scheduled check becomes due there.

Removing a location is different: it removes the location and revokes its tags. Revoking a tag ends that tag link. Do not use remove or revoke as a temporary switch. A retired building can be restored through the building list's restore action; this does not make every destructive action reversible.
