Review and approve the day’s report

Check the evidence, explain exceptions and release an approved report for delivery.

Know which report you are reviewing

Provider-led daily reports are reviewed before delivery. A supervisor authorised at that site or its administering organisation's portal user can review the report. At a shared site, a company reviews its own section, independently of other companies.

Use Daily review in the portal or the review link on your supervisor queue. A shared-only reviewer may be directed to shared reviews. An ordinary owner's daily report can follow a different sending path; do not assume every report waits for this approval.

Review after the cutoff

  1. Choose the site and report date. Check the site's cutoff and local time; its reporting day may cross a calendar-day boundary.
  2. Read the work done, open jobs, checks and visit photos. Review held-up work and missing confirmations in context.
  3. Give a reason and a few words for explainable missed or held-up checks. Avoid personal or sensitive details.
  4. Add the client comments needed to make the report useful. Check any contacts recorded as notified.
  5. Save the draft or, after the cutoff and when satisfied, choose Approve for delivery.

Selecting a contact as notified records that notification; it sends nothing. Contact the person through your own agreed channel.

Approval freezes the reviewed snapshot

Approval fixes that evidence and the comments for delivery. A changed evidence set requires re-review rather than silently changing the approved record. Check explanations are locked when the report containing them is approved.

The default delivery for reviewed reports is 08:00 the next morning, using the site's configured delivery time. Unapproved reports are held and shown overdue. A manual send still needs the appropriate approval.

The reader’s email can differ from your own round-up

The building manager's email leads with work completed and the items needing their attention. Your company's own round-up retains its operational exceptions. A manager's short email omitting an uncompleted check is not evidence that the check was done; use the web record for detail.

The report is a shared list of what happened and why. It does not on its own decide whether a contract has been met.

Demo sites can send today so far

Only a site explicitly marked as a demo offers Send today's report now. This sends a day-so-far email, without approving or storing a reviewed snapshot. It does not replace the normal approval and delivery process at real sites.
