Find the report you were invited to read
Use the report link in your email where one is provided. For a shared site's report pages, accept the separate reader invitation using the invited email, then use portal sign-in.
You can return through Shared with you on the Buildings or Sites page, or through Shared sites. Reader access applies to the particular invited person and site. Building-manager phone enrolment does not automatically grant it.
Read the email at a glance
A building manager's email leads with completed work and then Over to you: items that need the building team's attention, such as an in-progress job or explained held-up work. A provider's own round-up has more operational detail.
The short email is a summary. A scheduled check nobody completed may be absent from a manager's email while remaining in the web record and the provider's round-up. The email's work-completed line is not a workforce performance score.
Understand the detailed record
- Rounds: named work grouped across locations, with recorded times and outcomes.
- Done: a completion was recorded. A no-signal completion is flagged where checklist answers were unavailable.
- Held up or unable: somebody recorded that the work could not be completed, with their reason.
- Missed: a scheduled window passed without completion; look for the explanation alongside it.
- No confirmation: no qualifying confirmation is in that period. It does not prove nobody attended.
- Closed remotely: a supervisor closed a job without recording a visit, with a reason.
Scheduled checks are grouped by plan; completed rows may be folded on screen and open for print. Shared readers see approved sections and the photos included in those sections. A photo on its own never claims a check was completed.
Know whose names are shown
The customer's report attributes a provider's work to the company rather than naming its individual operatives. A named staff reporter's report and an external contractor's job record have their own stated attribution. These are different from exposing another provider's staff list.
Ask about the work in context
Use the report to discuss what happened and why with the building team and provider. It is not an attendance system and does not on its own decide contract compliance. If an expected section or email is missing, check the report troubleshooting steps.
