Use the tag where the problem is
- Scan the QR code or tap the NFC sticker and open the link. Check the building and location.
- Choose Report a problem, or complete the report form if it opens directly.
- Choose the option that best describes what is wrong. Add a useful note and photos where offered.
- Send once and wait for confirmation. Keep the page open if you are unsure whether it sent.
Describe the place and the problem clearly. Avoid including people or personal information in photos unless needed for the report. A repeat report of the same issue for the same route may join an existing open job.
Who can report?
At an Open tag, a visitor can report without a staff account. Staff only tags require the right assignment at that building. Operatives, supervisors, building managers and staff reporters can report within their access; their other controls differ.
A staff reporter's name accompanies their report to the people handling it and in the organisation's record. Their own reports page shows only their reports, not everybody else's jobs. A visitor does not get a private tracking account just by submitting an Open form.
What happens next?
The form option and location setup determine the responsible service, provider or own staff. Supervisors with confirmed alert addresses can receive a new-job email within their scope. A new job does not automatically text the whole team.
Reporting a problem does not mark work done or close a job. A building manager's answer to an escalation also does not close the job.
Log a problem from the portal
A portal user at an organisation's own building can use Log a problem on a location row, for example after a phone call. Use the location's report form, check the answers and submit. The record identifies that it was logged in the portal. This action is not offered for shared sites, assisted setup or a location without a live tag.
Use the right route for urgent or sensitive concerns
SiteClara is a building-work reporting tool, not an emergency response channel. Follow your building's immediate response procedures for urgent danger.
For school staff reporters: Not for safeguarding, pupil welfare, behaviour or staff concerns. Use the school's own procedures for those. Problems without a location, such as passwords and accounts, should go to the school's IT helpdesk.
