Supervisor quick start

Check the team’s work, escalate a job, explain exceptions and review the day.

Start with the queue and Today’s checks

Your supervisor assignment includes everything an operative does. Open your queue to see jobs in your scope. Open Today's checks for each building you supervise to see missed, due, done, held-up and later checks.

The queue is a view of the work. It does not record that a check was performed. Staff complete checks at the location's tag. Refresh to check for changes; an empty job list does not mean the checks are all done.

Choose whether to receive new-job emails

Add your alert email at the bottom of the queue and confirm it with the email sent to you. Only a confirmed address receives new-job alerts within your scope, including the own-staff services rule. You can stop those emails using the alert controls or their stop link.

A new job texts nobody automatically. The Texts from SiteClara switch is separate and also affects sign-in texts.

Ask the building manager to act

  1. Open the job and choose Escalate.
  2. Select the building's reason and give enough context in the note. Something else needs a note.
  3. Where there are several managers, check the named recipients. The initially selected set can be changed before sending.
  4. Confirm, then read who it was escalated to and any warning about no recipients or texts being off.

A job can be escalated once; the chosen recipient set is final. Only selected recipients get access to that escalation. A manager with texts off may still be selected and see it in their queue, but will not get a text.

The manager's answer appears on the job. It does not close it, even if the answer asks you to close. The supervisor who escalated can receive the answer by email at their confirmed alert address.

Explain missed or held-up checks

Use Give a reason from Today's checks or the daily review. Select your company's reason and add a few words explaining what happened. Keep names and sensitive details out of the note.

Explanations can be changed within seven days, but become fixed when the report containing that check is approved. A check held up earlier may be completed later; its earlier reason remains.

Review before the report is delivered

Where your assignment authorises daily review, open the review link, check the evidence and exceptions, add client context and approve after the site's cutoff. At a shared site you review your company's section only. Follow the full review and approval steps.
