Set up your first useful building

A practical administrator checklist from a few locations to the first report someone receives.

Start with a small real area

Choose a few locations your team already uses and a person who will read the first report. An owner account calls its places Buildings; a provider account calls them Sites. A company invited to a shared building should accept that invitation and use Shared sites, rather than create a duplicate building.

The setup guide in the portal follows your selected building and can be minimised. It checks configuration; it cannot prove that a poster is on the wall, that someone used their phone or that an email reached an inbox.

Prepare the building

  1. Open Buildings or Sites, add or open the building and check its name, location and time zone.
  2. Add a few locations, or import a room list. Check the kind of each location and its paired report form and routine task checklist.
  3. Choose who may use each tag. Staff only is the default. Provider-managed sites do not offer Open tags.
  4. Where needed, set up scheduled checks. A new or changed schedule takes effect tomorrow.
  5. Print and install the matching posters. Test the QR code at the wall and the NFC sticker if one is fitted.

Get the people ready

Enrol the operatives and supervisors who will work there, with their agreement to receive texts. Invite portal colleagues separately. If you are both the administrator and the person doing the test, enrol your own phone too.

At a shared site, each company prepares its own people, forms, checks and report section. The site administrator arranges the building's details, live locations and reader invitations.

Check the whole journey

  1. Use an enrolled phone to scan or tap an installed tag. Record actual work and raise a suitable test problem only if you intend it to be part of the building's record.
  2. Check that the intended team can see the job and the intended supervisor can review the day.
  3. Configure the report's recipients. For a provider-led or shared reviewed report, approve after the cutoff.
  4. Ask the intended reader to confirm receipt and open the report. Do not treat a saved address as proof of delivery.

Use the printable rollout kit for team practice and installation checks. Trial previews help explain the phone experience; they do not prove a real visit.
